Planning an Event?


The City of Nanaimo and Tourism Nanaimo are partnered in assisting meeting planners, event organizers and local members of regional, provincial, and national organizations in hosting a successful event in Nanaimo.

To help you secure an event for Nanaimo, Tourism Nanaimo and the City of Nanaimo will work together to:

  • Research availability of accommodation and facilities to best suit your group's needs
  • Co-ordinate site visits so decision makers can experience first-hand our facilities and destination
  • Assemble bid packages addressing your meeting or event requirements
  • Assist local host committees with presentations to your organization's decision makers
  • Arrange official invitational letters from the Mayor and other organizations as required for bid proposals
  • Recommend off-site venues for receptions, banquets, meetings and events

To help you ensure the success of an event in Nanaimo, Tourism Nanaimo will provide:

  • Delegate and attendee welcome packages including brochures and maps to promote Nanaimo and encourage attendees to spend more time in our vibrant community
  • Image bank containing a variety of photos and slides of Nanaimo and area attractions (Destination Nanaimo)
  • Camera ready map of Nanaimo with accommodations highlighted
  • Referrals to members who provide services to meetings and events for partner programs, pre and post touring options, day touring, entertainment, gift ideas, etc.
  • Listing on Tourism Nanaimo's Calendar of Events
  • Instant access for participants attending meetings and events via the Tourism Nanaimo web site
  • Local media list and contacts to help you generate editorial coverage
  • Press release assistance to local media to build local attendance at your event

Community Event Equipment Loan Program

The Community Event Equipment Loan Program is sponsored by the City of Nanaimo's Parks, Recreation and Culture department, Tourism Nanaimo, and PacificSport Vancouver Island. This initiative is designed to provide local event organizers with affordable tools and equipment in order to help them host a successful event here in Nanaimo.

  • 6 - Portable tent (10'x10')
  • 1 - Portable tent 10 x 15
  • 1 - Portable P.A. system
  • 4 - Two-way radios
  • 2 - Five gallon water coolers
  • 4 - Stop watches
  • Up to 10 traffic cones
  • 1 - 100 foot extension cord
  • 15 - Safety vests
  • 4 - Stop/Slow Paddles
  • 1 - Coleman generator & 20L gas can*
  • Garbage cans & lids (5 max)*

If you are hosting an event and would like to take part in the Community Event Equipment Loan Program, simply download the equipment loan application form, and fill it out in its entirety. When you have completed the application form, please drop it off at the Tourism Nanaimo Beban Visitor Centre, 2290 Bowen Road. You can also fax your application to 250-756-0075.
